The purchase of any vacation package or goods and services constitutes a contractual agreement and implies that you acknowledge having read the Terms and Conditions as well as the responsibilities outlined below and that you accept their application. Therefore, ensure that you have taken the time to read and understand these General Conditions before making your purchase.

The Northern Caribbean represents a collection of tourist establishments. Some belong to it (Baronnie de Kamouraska, Lac Victor, and La Corneille), while others are partners (Château Johan-Beetz, Écolodge Camp Barnoin, and Rapid Lake Lodge) that have the right to use the appellation, and it manages their marketing and operations. All adhere to the standards we aim to implement by 2023 in accordance with the principles of Responsible and Sustainable Tourism, making The Northern Caribbean a new international destination representative of the reconciliation of peoples and traditions, and entirely dedicated to the preservation of the northern ecosystem.

The General Conditions apply to all establishments of The Northern Caribbean; however, some of our establishments may have specific conditions.

"The Northern Caribbean," hereinafter referred to as the company, reserves the right to modify or change the Terms and Conditions at any time without prior notice. Therefore, we recommend that you read them carefully each time you purchase one of our vacation packages, goods, or services.

1. TERMES ET CONDITIONS (INCLUANT CONDITIONS SPÉCIALES COVID-19)
1.1. RESERVATION, DEPOSIT, AND FINAL PAYMENT

To book in one of our establishments, you must contact us to receive the necessary documents for your registration. You will need to complete the registration form by providing the details of all participants and return it signed. We also require that each client reads and signs the following documents either at the time of booking if the document is attached or upon arrival at the site: the "Internal Regulations" and the "Acknowledgment and Acceptance of Risks Form" of the company. Otherwise, access to our territories or the planned activity may be denied.

The following conditions apply to all our packages including more than three (3) nights in one of our establishments.

  1. A deposit corresponding to 30% of the total package amount is required at the time of booking. Failure to receive this amount within seven (7) days of booking may result in the cancellation of certain promotions or your reservation.
  2. A second deposit, corresponding to 40% of the total package amount, is required one hundred and twenty (120) days before your arrival date and no later than February 15th or March 15th of the year of your stay, depending on the site where you are staying. These details are specified in your contract.
  3. Unless otherwise specified, the final payment, the remaining 30% of the total package amount, must be paid sixty (60) days before your arrival date and no later than April 15th or May 15th of the year of your stay, depending on the site where you are staying. These details are specified in your contract.
  4. For any reservation made before February 15th or March 15th, depending on the site, it is also possible to make a two-payment: a 50% deposit at the time of booking, and a final payment of the remaining 50% at least sixty (60) days before your arrival date and no later than April 15th or May 15th of the year of your stay, depending on the site where you are staying. These details are specified in your contract.
  5. For any reservation made between February 15th and March 15th, 70% of the total package amount is due at the time of booking, and the remaining 30% must be paid no later than April 15th or May 15th of the year of your stay, depending on the site where you are staying. These details are specified in your contract.
  6. For any reservation made after February 15th or March 15th, depending on the site, 100% of the package amount must be paid at the time of booking. These details are specified in your contract.

The following conditions apply to all our packages including three (3) nights or less in one of our establishments.

  1. The full payment of the stay must be paid at the time of booking.

The company reserves the right to cancel any reservation for which payment has not been received within the terms mentioned above.

Accepted payment methods are: check, bank transfer, Interac transfer, Visa or Mastercard credit cards, and cash (for on-site purchases).

Any bank fees for a transaction are the responsibility of the customer. As the package prices are in Canadian dollars, payment must be sent to us in this currency.

1.2. CANCELLATION AND REFUND

In the event that the client needs to cancel their reservation, cancellation fees will be imposed regardless of the reason for cancellation. The following conditions apply to all our packages including more than three (3) nights in one of our establishments.

  1. In the case of a package canceled one hundred and twenty (120) days or more from the scheduled start date of the stay, the amount of the deposit paid at the time of booking is 100% non-refundable.
  2. If the package is canceled between one hundred nineteen (119) and sixty (60) days from the scheduled start date of the stay, or no later than February 15th or March 15th of the year of the stay, depending on the sites, the entire amount paid as the first and second deposit will be non-refundable, equivalent to 70% of the package value.
  3. If the package is canceled less than sixty (60) days from the scheduled start date of the stay or no later than April 15th or May 15th of the year of the package, the package is 100% non-refundable.
  4. Airplane tickets are non-refundable at all times.

The following conditions apply to all our packages including three (3) nights or less in one of our establishments.

  1. In the case of a package canceled thirty (30) days or more from the scheduled start date of the stay, the entire package is refunded, but administrative fees of $50 (plus taxes) are applicable.
  2. If the package is canceled between twenty-nine (29) and eight (8) days from the scheduled start date of the stay, the equivalent of the rate for the first night is non-refundable.
  3. If the package is canceled less than eight (8) days from the scheduled start date of the stay, the package is 100% non-refundable.

Cancellation must be notified to us in writing. We recommend purchasing cancellation and/or trip interruption insurance that will protect you against these cancellation fees for reasons of illness or mortality. Contact us for more details.

This policy generally has no exceptions for any reason, including weather conditions that may occur before, during, and at the end of your stay, as weather is an independent variable of our interventions and is a determining factor in the delivery of some of our activities on our sites, especially in the case of sites that use seaplanes or aircraft such as Lac Victor – Natashquan and Rapid Lake Lodge Inc. This policy also applies to cancellations or interruptions of stays due to personal emergencies.

However, in specific cases involving considerations such as force majeure, accidents, or illnesses, the management reserves the right to analyze each situation individually and possibly propose alternatives.

No refund will be granted for late arrival or early departure. No refund will be granted for any unused services during the trip.

If the cancellation of one or more persons changes the occupancy basis of the room(s) and/or cottage(s) for the person(s) still traveling, the latter must pay the amount of the price difference incurred by such a change in occupancy. This rule also applies to the rate for chartering an airplane or seaplane.

Air transport fees and flight schedules are subject to change without notice. As it has no direct control over these organizations, the company assumes no responsibility for additional fees or lost time that may result.

In the event of the company canceling a package, all amounts paid by the client will be refunded, which constitutes a complete settlement. In such a case, the client will be notified no later than forty-five (45) days before the scheduled date of arrival. The company is not responsible for expenses made for these canceled trips, such as the purchase of airplane tickets, goods and services in anticipation of the stay, or a reservation for a hotel, bed and breakfast, and other establishments outside of our own establishments. This list is not exhaustive and is given for illustrative purposes only.

1.3. EXCEPTIONAL CONDITIONS DUE TO COVID-19

All our establishments are located in remote or very remote regions away from any major urban center. The counterpart of such a unique and exotic trip for you translates on our side into organized planning more than 5 months in advance, significant expenses also more than 4 months in advance, and our commitment to suppliers for some more than 6 months in advance, in the same way for the recruitment of our experienced guides.

The following conditions apply to all our packages including more than three (3) nights in one of our establishments.

  1. In the event of a cancellation due to closure by government order or government measures that make the completion of the package economically and/or socially unreasonable for the company and render one of our establishments unable to fully or partially honor their services, then all amounts committed will be transformed into credit for a future trip valid within the next two (2) years under the same terms and conditions. Only in the case of Rapid Lake Lodge Inc., we cannot guarantee that you will have the same dates, although we do everything to satisfy you. This credit is transferable but non-refundable.
  2. In the event of your cancellation unrelated to a government travel ban, whether the reason is personal, medical, family-related, professional, or other, we invite you to take out cancellation insurance. Our team is here to advise and assist you in this process, informing you of the options available to you and the associated conditions. Cancellations made for the reasons stated above in the statement of point 2) are non-refundable.
  3. In the event of cancellation due to a positive COVID-19 test, you will eventually be entitled to an equivalent credit of the paid amount, valid for two years at one of our establishments, depending on the considerations related to your package. This credit is transferable but non-refundable.

The following conditions apply to all our packages including three (3) nights or less in one of our establishments.

  1. In the case of cancellation resulting from an obligation dictated by a government order, the entire package is refunded, but administrative fees of $50 (plus taxes) are applicable.
  2. For any other reason, the general conditions apply. We invite you to take out cancellation insurance. Our team is here to advise and assist you in this process.

As your stay takes place in remote regions where Indigenous and non-Indigenous communities live in proximity, for whom COVID-19 poses a serious threat, we want to do everything possible to protect them. Thus, depending on your region or country of residence and based on the national and regional health directives applicable on the dates of your stay, we will communicate to you if necessary the measures to be taken before your arrival. Once you have arrived on site, we will ask you to follow the protocols in place and to immediately report any symptoms that may occur regarding your health.

In the event that governments (provincial and/or federal) require or recommend precautionary measures before any tourist stay with associated measures, we will ask you to follow them, and we will ensure their compliance.

On our part, all our establishments are committed to respecting and practicing the highest health standards set by the governments and our affiliating organizations to ensure both your safety and that of our collaborators.

1.4. PRICE AND PRICE GUARANTEE

According to the law, the price of the tourist services sold can only be increased due to the imposition of a fuel surcharge by the airline. However, the company also reserves the right to change its rate in the event of a significant increase in the price of oil, considering that most of our packages include the use of motorboats or equipment requiring fossil fuel and that some of our establishments use seaplanes or airplanes to transport their equipment, supplies, and other necessities. In the event that the price increase, without taking into account the increase in the Quebec Sales Tax (QST) or the Goods and Services Tax (GST), is equal to or greater than 7% of the service price, the customer can then choose between: (1) cancellation of this contract and the full and immediate refund of the price, or (2) acceptance of similar services that could be offered at the same price, otherwise the price difference should be fully borne by the customer. No price change can take place within 30 days preceding the date of your stay. Any price reduction resulting from a promotion or decision by the company applies only to new bookings.

Unless stated otherwise herein, the prices of our packages are in Canadian dollars (CAD) and include provincial sales tax (QST for Quebec) and federal tax (GST for Canada).

1.5. RESERVATION CHANGE

It is your responsibility to enter your name as it appears on your passport or any other official travel document at the time of booking a package that includes a flight. In the event that the reservation requires a name change, fees will apply (variable depending on the modification to be made and according to the airline's conditions). In all cases, changing one or more name(s) of participants in the package may result in modification fees.

1.6. SPECIAL CONDITIONS: LUGGAGE TRANSPORT

If your stay includes a portion of portage to reach your nature accommodation, your personal baggage must not exceed ninety (90) pounds or forty-one (41) kilograms. The weight for personal baggage transported by seaplane is limited to seventy-five (75) pounds or thirty-four (34) kilograms per person. Any excess weight requiring the use of a second seaplane or a larger capacity plane will incur additional costs that you will have to pay on-site, directly to the airline.

1.7. SPECIAL CONDITIONS: ACCESSIBILITY OF TERRITORIES BY SEAPLANE AND USE OF AIR TRANSPORT

The following conditions apply to all packages including transportation by seaplane or bush transport such as the Twin-Otter or helicopter. This transport is operated by an external company referred to here as the carrier. This mode of transport is subject to weather conditions, and therefore, we cannot guarantee the accuracy of schedules. In the event of unfavorable weather conditions for the execution of your transport and for your safety, the carrier may decide to delay your entry to the Lodge or your return journey. In such a case, both the company and the carrier cannot be held responsible for inconveniences related to this situation, and no compensation can be claimed.

In addition, these delays could result in additional costs for the customer in the event that they have to stay longer at the Lodge, on the order of a minimum of one hundred (100) dollars per person per additional day, depending on the site in question. This amount includes accommodation and meals at the Lodge but excludes fishing rights or any other organized and guided activity.

In the case of a customized package including bush plane transport, and if the plane, while in operation, has to turn back due to unfavorable weather, the costs incurred for this flight will be charged to the customer, and the customer will have to bear an additional cost to book and plan another flight to reach their destination.

2. SPECIFIC CONDITIONS RELATED TO DIFFERENT TOURIST SITES
2.1. PARTICULARITIES FOR THE SITE OF LAC VICTOR AND/OR ANY PACKAGE COMBINED BETWEEN THIS SITE AND ANOTHER SITE OR THE NORTHERN CARIBBEAN LODGE OR ANOTHER PARTNER PROVIDER

For the Lac Victor site itself, it is always possible at any time to reach it by portage if your physical conditions allow it, knowing that the only physical effort required is a 30-minute walk in mountainous and rugged terrain. The portage from the meeting point to the main site of Lac Victor takes between two hours and forty-five minutes (2h45) and three hours and thirty minutes (3h30). Thus, you will always have the right, if the seaplane cannot fly and if on-site organization allows it, to substitute your air travel with travel by boat and land. At all times, this substitution cannot be subject to a refund, and according to possible conditions (using additional people, etc.), it may incur an additional cost that can never exceed 15% of the seaplane cost.

For any combined package between this site and another Lodge requiring the use of the seaplane, both the company and the carrier cannot be held responsible for inconveniences related to a weather situation that would prevent the execution of this flight or delay it or extend it, and thus the provision in its entirety or partially, and no compensation can be claimed in any way whatsoever, both in the context of the realization of this package and the consequences related to the realization or non-realization of this package.

2.2. RAPID LAKE LODGE AND CAMP BARNOIN LODGE

Your stay at Écolodge Camp Barnoin or Rapid Lake Lodge requires the use of different types of aircraft. Due to the complexity of organizing your stay and the synchronization required of all modes of transport and the importance of on-site weather conditions for intra-site and inter-site transport, even if we make every effort at all times to provide you with the best services and ensure the realization of all planned activities, in no case can both the company and the carrier be held responsible for inconveniences, delays, cancellations, consequences related to any of these modes of transport, and no compensation can be claimed from both the carrier and the company, and no reduction in the paid package price can be claimed.

2.3. BARONNIE DE KAMOURASKA LODGE

The use of a forest road in dirt, gravel, and rocky terrain is necessary to reach the main accommodation site from Route 287 South. This road is nine (9) kilometers long. At no time can the company be held responsible for the condition of this road, over which it has no right or power since it falls under the responsibility of the Ministry of Transport or the municipality of Mont-Carmel. However, we make sure to maintain it so that vehicles of the automobile type can use it, even though we recommend using vehicles more of the pickup truck type or with 4X4. And at no time can the company be held responsible for damage to vehicles.

3. RESPONSIBILITIES

It is your responsibility to arrive at your accommodation or any other location mentioned as the starting point of your package at the specified time and place. The company undertakes to make the roads on its territories suitable for the use of a motor vehicle. However, the company cannot be held responsible for inaccessibility due to circumstances beyond its control and authority, and cannot be held responsible for vehicle damage for any reason, as long as the direct and intentional fault of the company cannot be proven. You also release the company from any liability regarding your travel on the roads and trails of each of the territories, and you acknowledge that you do so at your own risk with full knowledge. In the context of organized, supervised, accompanied, and guided activities, the company undertakes to implement all safety measures directly related to the activity itself when appropriate.

The company assumes no responsibility for bodily, material, or moral damage resulting from force majeure or an unforeseeable event or a cause external to the company, and reserves the right to cancel or modify part of the stay or the entire stay for these reasons. In such circumstances, the company will make every effort to offer its clients equivalent services, but they will not be entitled to any compensation for loss, damage, or injury, physical or moral, resulting from these changes. We have liability insurance coverage for each of our territories as required by law, with a limit of two million Canadian dollars ($2,000,000).

The customer is responsible for being sufficiently healthy and independent to undertake a stay on our territories, and must communicate their pre-existing health condition in writing at the time of booking.

In the event that a customer behaves or has a condition prejudicial to other customers during their stay, they may be required at best to stay at the main site and at worst to leave the site. In the latter case, they will be solely responsible for all expenses incurred due to their conduct/condition.

4. OFFICIAL DOCUMENTS AND EQUIPMENT

It is your responsibility to ensure that you have all the required official documents for the completion of your stay and the transport of your luggage. The company is in no way responsible for anything related to air, road, maritime transport, or any other unforeseen event that may modify your stay on one of our territories. Our employees must check if you have the required documents (fishing and hunting licenses, firearm permits, etc.) for the smooth running of the stay. If necessary, the manager of the Lodge will be obliged to make you purchase them.

The company provides you with the number of life jackets and/or vests corresponding to your needs in each cottage and/or room to comply with safety instructions on the territories and the regulations governing activities. All these instructions and regulations will be communicated to you upon arrival before starting any activity. The company is in no way responsible for your use or non-use of the provided equipment and for any accidents that may occur due to lack of vigilance on your part, especially when you are engaged in an unorganized and unguided activity. In the context of organized, supervised, accompanied, and guided activities, you will be obliged to comply with all instructions and safety measures given to you. In case of refusal to comply, the responsible person may exclude you from the activity at any time, and you will not be entitled to any compensation.

It is recommended that you obtain personal travel insurance. The company undertakes to provide you with equipment and material in good condition and suitable accommodation providing all necessary comfort when it is a cottage (hot water, shower, toilet, stove, refrigerator, lighting, wood heating, etc.) and suitable accommodation offering minimal comfort when it is a nomadic camp or bivouac (shower, lighting, wood heating, etc.). You are responsible for the proper use of this equipment and the material entrusted to you during your stay, and you will have to assume any damage and/or breakage caused by you.

5. VISITS, EXCURSIONS, AND INDIGENOUS EXPERIENCES

The visits, excursions, and Indigenous experiences included in our packages may be subject to change, especially due to celebrations (both civic and religious) or adverse weather conditions. The company cannot be held responsible for these changes. If possible, the company will replace the activity with a similar one or may propose to do it at a different time than originally planned.

Force majeure cases do not result in compensation for the customer.

6. MINORS

A person of minor age cannot make a reservation for a stay and/or activities or occupy accommodation alone. The customer is obliged at the time of booking to specify the exact age of children, as well as that of all members of his group/family. Any person of minor age must be accompanied by an adult. The company reserves the right to add a supplement to the amount of the stay if the minimum age is not respected.

6.1. ACTIVITIES AND EXPERIENCES

Any person of minor age who holds a fishing or hunting license in their own name will be considered in our pricing as an adult and must have all the required official documents for the completion of their stay.

Any child from 0 to 8 years accompanying an adult during an experience or activity (fishing, hunting, ecotourism) is not charged if their presence does not require the provision of a guide and/or an additional boat or vehicle.

6.2. ACCOMMODATION AND MEALS

Our commercial policy for sites accessible by road (Château Johan-Beetz, La Corneille, and Baronnie de Kamouraska) is as follows:

  • Total gratuity for children aged 0 to 2 staying in their parents' room. Please note that some of our sites are not fully adapted to accommodate children of this age; please contact us for more information;
  • 3 to 8 years: free accommodation for children sleeping in their parents' room; meals are charged at $10 (+tax) for breakfast and $25 (+tax) for lunch or dinner;
  • 9 to 17 years: services and billing identical to those applied to adults for meals and accommodation (including those staying in their parents' room).

7. ACCESSIBILITY FOR PERSONS WITH REDUCED MOBILITY

The company is committed to making several of its sites accessible to persons with reduced mobility starting from the 2022 season, and all its sites for the 2024 season.

8. ALLERGIES AND INTOLERANCES

The customer must inform the company at the time of booking or as soon as possible of any allergies, intolerance, and/or specific diet so that the information can be transmitted to the operational staff on the territories.

9. TRAVEL INSURANCE

For Quebec residents, it is strongly recommended to subscribe to insurance covering cancellation risks before the stay. In addition, we recommend that you consult or contact us to know the conditions.

For your peace of mind, the company recommends that all customers subscribe to insurance covering risks before and during the stay, including medical coverage for the entire duration of the stay that takes place outside their province or country of residence.

10. TIPS

We suggest that each customer leave a tip of approximately 10 to 15% of the price of their stay (before taxes) excluding transportation, regardless of the site. This amount is given to the person in charge of managing the site. Tips are divided equally among the employees because everyone contributes directly or indirectly, visibly or discreetly, to the success of your stay and your moments of happiness. There is no obligation to give an additional tip to your guide. By doing this, you also contribute to strengthening teamwork, collaboration, and cooperation. It is understood that tips are at your discretion. A satisfaction questionnaire will be given to you during your stay, and we ask you to complete it to provide us with your feedback. Similarly, any comments and suggestions will be welcome at all times.

11. CARIBBEAN NORDIC'S ENGAGEMENT REGARDING THE WILDLIFE QUALITY OF ITS TERRITORIES

The company's management guarantees the wildlife quality of its territories, especially for its terrestrial, avian, and aquatic fauna and their indigenous character, fauna that has never required human intervention since ancient times for the territories of Château Johan-Beetz, La Corneille, and Lac Victor, as well as those of Camp Barnoin and Rapid Lake.

The company's management guarantees the wildlife quality of La pourvoirie de la Baronnie de Kamouraska, particularly its terrestrial and avian fauna, and their indigenous character, fauna that has never required human intervention. However, for its aquatic fauna, despite the presence of an indigenous strain, the management resorts to stocking at least once a year, at the beginning of the season.

By 2024, each of these territories will adhere to integrated, responsible, and sustainable management of its wildlife, flora, and geological riches in connection with the enhancement of the cultures that live and share these territories, and will implement a waste management policy, ensure that no discharge can alter soil quality, always favor renewable energy, build according to so-called green architecture principles, and establish links with communities, local and regional socio-cultural pillars through shared and concerted actions.

We also commit to minimizing our carbon, material, or human footprint on these territories while respecting La pourvoirie's carrying capacity and the support capacity of the communities that inhabit them, all while continuing traditional activities.

From our point of view, watching over and protecting these territories means being able to live with, by, and from La pourvoirie. We have made it our mission to contribute to reintegrating humans into these preserved spaces so that they can once again live in harmony with the environment that welcomes them for the duration of an experience and a stay, hoping that this approach will inspire them in their daily lives.

12. CARIBBEAN NORDIC GUARANTEE

The company undertakes to do everything possible to provide you with a beautiful and inspiring experience at every stage of your booking and stay, ensuring the same quality of service, listening, and welcome.

If your trip does not provide the promised experience, we undertake to take your disappointment into account and work with you to remedy the situation. When you book a vacation with Caribbean Nordics, we become true partners. Our job is to help you choose and prepare for your trip, as well as to design a carefree adventure, faithful to or superior to the promises of our documentation and staff.

Your responsibility is to choose a trip that suits your abilities and interests, become familiar with our policies, prepare the recommended equipment, share our travel philosophy, and experience all the fun of the adventure.

If we do not fulfill our part of this agreement, we will do what is necessary to find an acceptable solution. For us, the relationship with our customers is a top priority, and we hope it is mutually rewarding and lasting.

13. COMPANY INTERNAL RULES

Every customer must adhere to the "internal rules" of our company on all visited territories. The document listing the rules will be sent to you with your registration form and/or given to you upon arrival. You must read it before starting your stay with us.

Each of our territories adheres and will adhere as our knowledge advances to a strict wildlife policy that involves traditional knowledge and scientific knowledge to ensure not only the natural renewal of our wildlife heritage but also its preservation and protection, and the harmonization of uses in accordance with the different cultures that inhabit the same space.

You must commit to respecting this wildlife policy and, to the best of your ability, share all the information and observations you have collected during your stay. We, in turn, commit to sharing all our knowledge with you.

In the context of harvesting activities such as fishing and hunting, we can modify the wildlife policy at any time, always in the direction of conserving wildlife heritage.

14. MEDICAL SERVICES

We recommend that you take out insurance covering the risks of cancellation before your stay.
